1. Purpose
This policy sets out how Consult PR and Marketing (“the agency”) uses artificial intelligence (AI) tools in the course of its work. Its purpose is to ensure that our use of AI is responsible, transparent, and safe, while continuing to support the creativity, quality, and efficiency we deliver for our team and our clients.
2. About Consult PR and Marketing
Consult PR and Marketing is a public relations and marketing agency providing strategic communications, brand support, and generative AI solutions to clients in the B2B sector. We use AI tools selectively to support the delivery of high-quality content and marketing materials.
3. Scope of AI Use
We currently use AI tools to support the creation of the following materials, produced both for internal purposes and on behalf of our clients:
- Blog posts and long-form articles
- Social media captions and copy
- Email newsletters
- Advertising copy
- General marketing materials
4. Governance and Oversight
Laura Tatton is the designated policy owner and is responsible for overseeing the use of AI across the organisation. This responsibility includes monitoring associated risks, ensuring ethical and consistent practice, and keeping the agency informed of relevant legal and regulatory developments.
5. Internal Standards for AI Use
The agency is in the process of formalising its internal standards for AI use. As a baseline, all staff are required to observe the following principles:
- Mandatory human review. All AI-generated content must be reviewed and approved by a member of staff before it is shared externally or published on behalf of a client.
- Protection of sensitive information. Staff must not input client names, personal data, campaign briefs, or any other confidential or commercially sensitive information into AI tools.
- AI outputs as drafts. AI outputs are to be treated as drafts or suggestions, not as definitive or publish-ready content.
- Approved tools only. Staff may only use AI tools that have been approved by the policy owner for work-related purposes.
6. Transparency with Clients
At present, the agency does not routinely notify clients when AI has been used in the preparation of their work. This position will be kept under review, and we will introduce formal transparency measures should client expectations, industry standards, or regulatory requirements evolve.
7. Accuracy, Bias, and Risk Management
We recognise that AI tools can generate outputs that are biased, factually incorrect, or otherwise inappropriate. To mitigate these risks, the agency observes the following safeguards:
- All AI-generated content is reviewed by a member of staff before use or publication.
- High-stakes or sensitive subject matter — including legal, medical, financial, and political content — will not be produced using AI unless a qualified human expert is directly involved.
- All factual statements, statistics, and data points generated by AI must be verified against trusted, authoritative sources before publication.
8. Legal and Regulatory Compliance
The agency operates from England and complies with all applicable legal and regulatory obligations, including:
- UK GDPR and the Data Protection Act 2018. Personal data is not entered into AI tools under any circumstances.
- Advertising Standards Authority (ASA) guidance. All marketing content produced by the agency must be accurate, substantiated, and not misleading.
- Emerging AI regulation. We actively monitor developments in UK and international AI law and guidance, and will update this policy as the regulatory landscape evolves.
9. Staff Training and Awareness
All current staff have received training on the appropriate use of AI tools. The agency will introduce structured onboarding and ongoing guidance to ensure that all employees — including new joiners — understand the risks, responsibilities, and best practices associated with using AI in their work.
10. Future Development
The agency is exploring opportunities to expand its use of automation and AI across additional areas of the business, including:
- Client reporting
- Data analysis
- Scheduling and campaign planning
Any expansion of AI use will be assessed against the principles set out in this policy and must be approved by the policy owner prior to implementation.
11. Policy Review and Updates
This policy will be reviewed at least every six months, or sooner in the event of material legal, regulatory, technological, or business developments. Any revisions will be approved by the policy owner and communicated to all staff.
